Job Summary
The Executive Personal Assistant is responsible for providing comprehensive administrative, personal, and transportation support to ensure the smooth management of daily business and personal activities. This role requires exceptional organizational skills, professionalism, discretion, and the ability to anticipate needs while maintaining the highest standards of confidentiality.
Key Responsibilities
- Manage daily calendars, appointments, meetings, and schedules.
- Coordinate domestic and international travel, including flights, accommodation, visas, transportation, and itineraries.
- Organize meetings, prepare agendas, and follow up on action items as required.
- Handle correspondence, emails, phone calls, and documentation professionally and efficiently.
- Maintain confidential information and sensitive matters with the highest level of discretion.
- Liaise with internal teams, clients, government entities, vendors, and external stakeholders.
- Coordinate personal appointments, reservations, errands, and other day-to-day requirements.
- Monitor important dates, renewals, payments, and administrative obligations.
- Provide safe, professional, and punctual transportation to meetings, appointments, airport transfers, and other engagements.
- Plan efficient travel routes while considering traffic and scheduling requirements.
- Ensure assigned vehicle(s) are maintained in excellent condition, including cleanliness, servicing, registration, insurance, and routine maintenance.
- Support business and personal engagements as required, including occasional travel.
- Anticipate needs, resolve issues proactively, and contribute to the smooth running of daily operations.
- Perform any other duties assigned from time to time.
Qualifications & Experience
- Bachelor's degree or equivalent experience preferred.
- Minimum 3–5 years of experience in an Executive Assistant, Personal Assistant, or similar support role.
- Valid UAE driving licence with a clean driving record.
- Strong organizational, planning, and multitasking skills.
- Excellent verbal and written communication skills in English.
- Proficiency in Microsoft Office, Google Workspace, and digital productivity tools.
- High level of professionalism, integrity, and confidentiality.
- Ability to work independently, exercise sound judgment, and remain flexible in a fast-paced environment.
